Event → Attendees or Tickets / Patrons + Subscribers / Bookings
Choose the record you actually need
- Attendees or Tickets
- Use for the registration or ticket records made available by the event’s attached ticket types. Start here for attendee-level operational information.
- Bookings
- Use for the event booking report and order context. A single buyer or order can cover several tickets.
- Patrons + Subscribers
- Use for the event-related subscriber report within a selected email publication. Booking an event and opting into a publication are separate actions.
- Dashboard
- Use for summary figures and charts. It has specific definitions for paid tickets and conversion, so it will not always match the row count in a report.
Open the attendee or ticket report
- Select Attendees or Tickets for the intended event.
- If the event has ticket types linked to a registration form, the editor can offer a Registrations report. Ticket types without forms can offer a Tickets report. When both apply, select the report you need.
- Review the column headings to establish whether each row represents a registration, ticket record or another configured detail.
- Search for the relevant record and inspect available order, ticket, occurrence and registration information.
- For event-day use, prepare the appropriate report and an agreed reconciliation process for any manual changes.
None found can mean that the event has no linked ticket types from which to choose a report. It does not by itself prove that the whole account has no customers. Check Tickets, Registrations or Bookings and the relevant form relationship first.
Search the event booking report
Select Bookings and wait for the Event bookings report. Use the columns offered by your configured report, such as Order ID and Name, to identify the right booking. Check the order itself when resolving payment, cancellation or refund questions.
- Enter an order reference or name in Search to narrow the loaded rows.
- Use available column-header sorting to inspect the records in a useful order.
- Choose Show 15, 30, 50 or 100 entries for the number visible per page.
- Use Previous and Next to move through pages. Read Showing and Page information to understand the current result size.
- Clear Search before preparing a complete report for the event.
Pagination changes how many rows are visible at once; it is not an event-date filter. If a report does not expose a session or status filter, do not assume one is applied. Check the supplied columns and use the appropriate report or support workflow for a narrower scope.
Find event-related patrons in a publication
- Select Patrons + Subscribers.
- Open the Email list dropdown and choose the intended publication rather than leaving Select List selected.
- Review the resulting event-related subscriber report. Use its available search and export controls as needed.
- Check the publication again before using the result to plan a broadcast.
This view helps connect event attendance and newsletter subscription. Selecting an email list does not subscribe all buyers, import a list or send a message. Keep existing opt-outs and publication preferences in place when preparing a campaign.
Choose the right export
- Copy
- Copies the report’s filtered rows as tab-separated text. Paste into a spreadsheet or approved working document, then verify the headings and row count.
- Excel
- Downloads an .xls report for spreadsheet use. It is a formatted report table, not a live connection that will update as bookings change.
- CSV
- Downloads a comma-separated file. When importing into a spreadsheet, preserve identifiers and date formatting so leading zeros or date values are not changed unintentionally.
- Opens a print view. Allow the report pop-up if your browser blocks it, then choose Save as PDF in the print dialog. Review the page layout before saving or printing.
Exports use the loaded report and its active filtering, rather than only the current pagination page. Clear unwanted searches, confirm the filtered count and check the downloaded rows. If a report warns that only the first set of rows was returned, exporting does not retrieve the missing rows; use an available narrower report scope or ask for the required complete extract.
Record the event, report type, selected publication where relevant and export time with your file. A downloaded report is a snapshot, so bookings made afterwards will not appear until you export again.
Check the totals before handing over a list
- Confirm whether the report represents buyers, orders, ticket quantities or individual registrations.
- Review the relevant event occurrence and order or ticket status where those columns are available.
- Compare quantities as well as row counts. One row can represent several places.
- Inspect a known test booking and a group booking to verify how they appear.
- Share only the fields needed by the door team, caterer or colleague, through your agreed channel.
Troubleshoot a missing record or export
- A record cannot be found
- Clear Search, confirm the event and report type, and check the order reference. For subscriber reports, confirm the selected Email list.
- The report is empty
- Check whether tickets or forms are attached and whether relevant records exist. Empty results differ from a loading or error message.
- PDF does not open
- Allow the report’s pop-up and try PDF again. Select Save as PDF from the browser print destination.
- The export looks incomplete
- Check active search, filtered counts and any truncation notice. Compare the file’s rows with the loaded report rather than assuming the page size is the export size.
- Different totals in different tabs
- Compare definitions, statuses and quantities. Check the dashboard’s paid-ticket and conversion rules before treating a difference as an error.
Keep going
- Read the event dashboard and referrer charts
- Prepare your team and check in attendees
- Manage publications and subscribers
